Shared Positions (Duplicate Fills)
«

Is there a way to create a budgeted position that is shared by two people and will display each of their unique personal data/photo without being counted as two positions in the total? I would like to use this feature when doing succession planning. Example: one employee promotes to another position that is still occupied for a period of time, thus creating one new vacant position and one new shared position. The total budgeted position count remains unchanged.

Thank you for contacting the OrgPlus Support Team.
This could be done with a multi-record box. You could combine both records into one box and then select one record and have it excluded from counts. To do this please follow the steps below:
1. Select both boxes.
2. Select Box Properties from the Format menu.
3. Go to the Box Layout tab.
4. Select the Layout Options button.
5. Check the Multi-Record Box check box.
6. Select Ok.
7. Check the Show Sub-Box Properties check box.
8. Add all fields from the left column that you would like to appear for both records. Note the Title will be displayed at the top of the box so it is not neccessary to add it to the sub-box.
9. Select Ok.
10. The records should now be combined into one box. Select the box.
11. Select one of the records so all its fields are highlighted green.
12. Select Box Properties from the Format menu.
13. Go to the Advanced tab.
14. Check the Exclude from Counts check box.
15. Ensure that Selection is check in the Apply To section and select Ok.
You should now have a multi-record box with both employees information but a headcount that only counts them as one.

Thanks.
It works, however it no longer not allows me the option to add a sub-chart break to that box. Is there a way around this?

Thank you for contacting the OrgPlus Support Team.
Unfortunately with multi-record boxes you can't insert sub-chart breaks. One option you do have is to place the two boxes ina combined box chart style. Under Format>Chart Styles the fourth row contains all the combined box chart styles you can apply sub-chart breaks then place the boxes in this style to place them in one box together. The downside of this option is the sub-chart arrow appears inside the box.

Thanks for checking. Is this a fix that you can add to the next version?

Also, I did notice that when the chart is published to an html file, the shared box will only show one person. The published PowerPoint and PDF files show both employees correctly.

Thank you for contacting the OrgPlus Support Team.
The Multi-Record box functionality is being worked on for correction in a future build. As far as the publishing issue this has also been brought to the attention of the engineers. I have created a case in your name so that when it is corrected you will be notified.
